When most people think of a desk phone, they picture a traditional office handset with one or two lines, permanently stationed on a desk and usable only from that exact location. For years, desk phones were synonymous with being tied to the office. However, with today’s modern VoIP platforms, that perception is outdated.

With CallHarbor’s powerful cloud-based platform paired with flexible, feature-rich desk phone hardware, businesses no longer have to choose between reliability and mobility. Desk phones are no longer confined to a single location—they can move with your workforce while still delivering the same professional experience and advanced features.

In this blog, we’ll explore how CallHarbor desk phones can be utilized beyond the traditional office setup, helping businesses stay connected, resilient, and productive wherever work happens.

Modern Desk Phones: Built for Flexibility

CallHarbor offers a wide range of high-quality desk phone options designed to work seamlessly with our premium VoIP platform. When paired correctly, the right hardware and software combination unlocks powerful capabilities that go far beyond basic calling.

Because CallHarbor operates in the cloud, your desk phone isn’t dependent on a single physical office. As long as the device has power and an internet connection—via Ethernet or WiFi—it can function exactly as it would at your desk in the office. This means your extension, phone number, features, and call handling rules travel with you.

Outage Avoidance and Business Continuity

One of the most valuable advantages of using CallHarbor desk phones is the ability to maintain communication during unexpected outages or disruptions.

In the event of a power or internet outage at your office, employees can simply unplug their desk phones and take them home or to another location. With a power adapter and an available internet connection, the phone will come right back online—no reconfiguration required.

This flexibility ensures that weather-related issues, power interruptions, or building outages don’t break the line of communication between your team and your customers. CallHarbor’s platform, combined with portable desk phone hardware, allows employees to continue working uninterrupted and remain reachable when it matters most.

Leveraging Platform Features for Even Greater Flexibility

Beyond portability, CallHarbor’s platform offers advanced features that further enhance reliability and ease of use when working with desk phones. Two of the most impactful features are Call Forwarding and Answering Rules.

Call Forwarding

If your desk phone is your primary device, call forwarding provides a critical backup. With CallHarbor, you can forward calls from your desk phone to virtually any other number or device, including a mobile phone. This ensures you stay connected even if you’re away from your desk or temporarily unable to use the phone.

Answering Rules

Answering rules allow you to define exactly how incoming calls are handled based on time of day, availability, or user preferences. One particularly useful option is allowing multiple devices to ring simultaneously.

When used with a desk phone, answering rules that ring multiple devices can:

Increase availability and responsiveness

Reduce missed calls

Improve flexibility for remote or hybrid workers

Minimize downtime during disruptions

These rules ensure calls are answered promptly, whether you’re at your desk, working from home, or on the go.

The Best of Both Worlds: Traditional Hardware, Modern Mobility

When combined, CallHarbor’s desk phone hardware, cloud-based platform, and advanced call-handling features deliver a reliable and mobile communication experience—without sacrificing the familiarity of traditional desk phones.

Businesses can enjoy the dependability and call quality of desk hardware while benefiting from the flexibility typically associated with softphones and mobile apps. This makes CallHarbor an ideal solution for organizations that value both professionalism and adaptability.

Support When You Need It

If you need help connecting your desk phone to WiFi or configuring features like call forwarding and answering rules, CallHarbor is here to help. You can explore step-by-step guides in our Knowledge Base, or reach out directly to our Michigan-based Support team for personalized assistance.

When switching over to a VoIP business phone solution, customers are always overjoyed with the newfound versatility and flexibility. We give our customers multiple options as far as their phone preferences. With desk phone options, web softphone capabilities, and an easy to use mobile app, customers can stay connected however they choose. There are pros and cons that come with choosing to use desk phones over web softphones, and vice versa. Overall, they are both extremely great options that you can use a mix of! Ultimately, the final decision on which product to use depends on what you feel most comfortable with. It depends on your needs and wants from your phone system, and which choice will make your tasks easier on you. Let’s take a look at the pros and cons of both desk phones and web softphones.

Physical Desk Phones & Hardware

Many people prefer to use a physical desk phone for many reasons. It is something familiar that they are already comfortable utilizing. Almost all business phone users are used to having a phone on the desk. It is the typical set up for most offices and businesses. It’s a nice physical hardware that is always there and easy to use. There is minimal to no training required since it functions a little bit like your old telephones. Especially if you are switching from a different VoIP provider, most IP phones has similar features and capabilities. They’re incredibly easy to use, especially for those already familiar with the phone system. Tech-savvy users will find softphones easy, but there is always onboarding training involved in the use of the web softphones.

We hold a partnership with Yealink and Poly – two of the largest business phone system hardware providers. CallHarbor takes pride in the hardware we supply our customers. We always like to keep up with the most current versions and best products.

Web Softphones Pros & Cons

A web softphone is a phone or feature for making telephone calls over the Internet using a computer rather than dedicated phone hardware. Employees can utilize the softphone through our internet web portal on a desktop, mobile device, or other computer, and also functions in the same way as our web softphone on the mobile app. It allows the user to place and receive calls, see their coworkers’ online status, and engage in chat and SMS.

By using a web softphone, employees don’t have to be tied to their desk or cubicle to utilize their work phone number or all the other great VoIP phone system features. Web softphones are a great feature to utilize for flexible or remote workers. The features within the web softphone in the CallHarbor portal are helpful to office workers and remote workers alike. You can start new phone calls right from the web softphone, begin new chat or SMS conversations with your coworkers, see your coworkers’ availability statuses, view your settings and toggle answering rules and greetings, and even more.

The only real cons about using a web softphone only is that if your computer isn’t functioning like normal, you won’t have access to it. You will still be able to use your mobile app or forward your calls to your cell phone, but you won’t have your usual functionality of your actual web softphone. The softphone is extremely easy and convenient to use once you understand it. CallHarbor provides free on-site training to make sure your team is well versed in our technology before your system goes live.

Switching to VoIP

With CallHarbor, you always have access to your web softphone – it comes along with your user access! This also includes our mobile app that you can use to utilize your business phone number on the go. If you also buy or rent a VoIP desk phone, you’ll have the perfect trifecta at the palm of your hand. The best part of having all three options is that you can pick and choose which device you want to use day to day. If you’re ready for extreme versatility, it’s time to switch to CallHarbor.

Your receptionist is the person that gives your customers and clients their first impression of the business. This ultimately makes them a very important asset to your business. A receptionist is more than just the voice on the other end of the line. They are an extension of your business. How they handle calls reflects your business’ professionalism. Whether you are a small or large business, a receptionist will improve the productivity of your staff. They handle the constant flow of ringing phones, and also take some responsibility off other staff members by delivering messages, prioritizing projects, and scheduling client meetings. Receptionists are there to make sure nothing falls between the cracks. CallHarbor offers many features and hardware that will make the life of your receptionist much easier. From our attendant console for easy transferring, to our cordless phones for walking to the fax room, your receptionist will thank you.

Features Fit for a Receptionist

Web Softphone

A web softphone is a phone or feature for making telephone calls over the Internet using a computer rather than dedicated phone hardware. The softphone can be utilized through our internet web portal on a desktop, mobile device, or other computer, and also functions in the same way as our web softphone on the mobile app.

Read our full blog article on how to utilize our web softphone here: Using a Web Softphone

Attendant Console

For a receptionist that answers a high volume of calls, or a receptionist that has a lot of extensions to keep track of, our attendant console is a great feature to alleviate some stress. The list of users can be quickly dialed down by site and department, as well as organized into call queues and auto attendants. This feature can be pulled up on any web browser, and would work great on a tablet that can move with the receptionist.

When you have an active call, you can easily drag and drop it to another extension to transfer the call. You can also drag and drop the call into a parking lot, where the call will sit until someone picks it up by dialing the parking lot extension. The color of the circle next to a user’s name indicates their availability status. A red circle indicates that user is currently on a phone call. A green circle indicates they are available for a call. If the circle is blank, the user is offline.

Auto Attendant

Auto attendants are helpful because they can lessen a receptionist’s duties so they can focus on different tasks. By using an auto attendant, the caller can help route their call to a specific extension, queue, voicemail, and more. Auto attendants are extremely valuable for companies because they serve as a type of call management that makes sure the company’s callers get to the right department quickly and easily. They can streamline some simple transfers and calling, so the receptionist can be freed up for more specific duties and calls.

Auto attendants are very easy to learn to navigate and use, and they fill a very important role by ensuring that your callers aren’t kept on hold for long periods of time. This can up your customer service cred and keep your customers happy. This feature also helps to reduce the cost of customer contact. When used to handle incoming calls, there’s a reduced need for having a dedicated receptionist, and the system works around the clock without a need for time off. The virtual receptionist also handles multiple calls to your phone number at once, so you don’t need to add supplementary staff to handle busy periods – they can do it all on their own.

Call Queues

Call queues operate similarly to an advanced hunt group. They can take an inbound call, and keep the caller on-hold until one of the available agents listed is ready to take the call. For example, think of a receptionist at a busy law firm. This receptionist may handle multiple important calls at a time. The former standard line “Thank you for calling, can you hold please?” was heard all too often. Instead, a call queue can handle those inbound calls for the receptionist, and send them to a chosen employee when they are ready.

Call queues gather data on inbound calls, wait time, abandonment rate, and much more. Managers can then use this information to look at hiring and scheduling decisions, as well as researching missed opportunities.

Check out our blog article on optimizing your call queues: 4 Tips for Optimizing Call Queues

Hardware to Make a Receptionist’s Life Easier

Cordless Phones

A cordless office phone provides a way for your receptionist to move freely about the office without worrying about missing a call. It also offers them mobility while on a call, whether they need to go to another location to get information, or to prepare files or faxes. Cordless phones still offer all of the transferring, directory, and muting options as our typical desk phones.

With a cordless phone, you are able to move around freely without having to stay near the base. This gives you all the freedom you need in order to do whatever you want while talking. The days in which you had to sit at your desk until a phone conversation ended are long gone and today cordless phones are the best solution for those that like to multitask.

WiFi Enabled Phones

Although we love to tell our customers about our web softphone, attendant console, and mobile app, some people just prefer to have their physical phone. Luckily, our WiFi enabled VoIP phones are super easy to take home, plug in, and get working. For our WiFi enabled phones, your receptionist will be able to perform all of their duties right from the comfort of working at home. By bringing their physical phone home with them, they will feel comfortable and ready to answer any incoming calls. To set it up, you simply bring the entire phone home, plug it into the wall, and connect it to your WiFi using the on-screen prompts. The hardware is light and easy to transport, so it doesn’t feel like you are lugging big, heavy equipment around.

Expansion Modules

If your receptionist is transferring phone calls to a lot of different extensions, it might be easiest for them to have an expansion module attached to their physical phone. This gives the receptionist the capability to build out a larger, easy to click, instant contact list for calling or transferring to a lot of extensions.
Businesses replace their employee desktops or laptops about every five years. Mobile devices are replaced even more frequently than that, especially for companies that include employee-owned devices. So why do organizations hold onto old, outdated business phone systems for 10-20 years? For a lot of business owners, they simply underestimate the business value of upgrading to a new phone system. Some business owners think it’s wise to spend their budget elsewhere, not knowing how much having a new phone system, such as a VoIP phone system, can truly help your business in multiple ways.

Check out these 6 reasons why you shouldn’t forget about upgrading your phone system, and why you shouldn’t put VoIP phone systems on the back burner.

Cost Savings

When it comes to features, VoIP business phone systems offer so many advantages over traditional hardware. Usually these solutions with added features and conveniences also come with additional costs, but CallHarbor offers all of these features for for no additional price.

With traditional hardware, up-font costs can be steep, and that’s usually just the beginning of surprise bills and charges. When considering total cost of ownership for a traditional PBX system, don’t forget recurring fees for maintenance, upgrades, and changes. Time spent learning the system, as well as any downtime that becomes necessary for fixes and changes, all add to the overall cost of your phone system. With CallHarbor, your flat rate cost covers all of that and more.

A VoIP business phone system offers many cost advantages over older PBX hardware. Pricing is simple and affordable, and the low monthly fees are per person so your expenses are predictable and easy to manage. Maintenance is handled for you, and phone systems can be administered from mobile devices, reducing the need for expensive specialized technical support and training over time.

Valuable Features

VoIP platforms offers so many features, and many of them are tiered. With CallHarbor, you won’t have to pick and choose. We’re all inclusive. With one plan you can rest assured you have the features you need to make your business succeed, from Call Center, to Reception, to internal meetings. We have you covered. Our fully featured phone system includes auto attendants, music on hold, call queues, and more. You can easily chat with your co-workers, removing the need for multiple applications. From group chats, to personal one-on-one chats from our mobile app or desktop app, you can also use SMS utilizing your work phone number. You can track stats on call-center flow, abandoned calls, voicemails, hold times, and more. Our grainular reports, as well as call center manager and agent portals allow you to manage your team better than ever. All of these features are backed by the best 24/7 US-based support, free installation and training, no on-boarding costs, no transferring, no holding, just results.

Application Integration

Unified communications platforms allow users to instant message, SMS, and schedule and hold virtual meetings. Customer relationship management and other business applications, such as SalesForce, Hubspot and Insightly, can also be integrated with the phone system to streamline workflows. We have our very own CallHarbor Chrome extension that also works with integrations. Our extension offers great features, such as screen pops and click to call. Our extension includes over a dozen pre-built CRM integrations to keep all of your communications organized.

You can count on our application to improve workflows, and streamline processes. Simply sign-in with your existing CallHarbor login and you will be up and running in seconds.

Mobility

With today’s VoIP phone systems, calls can be automatically forwarded to a mobile device, where the user can access the same tools and services they would find on their desk phone. This is far more efficient and reliable than expecting a caller to leave a message and wait for the recipient to retrieve the message and return the call. Our web softphone is also available from any computer or phone, giving you more mobility and freedom than you could ever have with an old phone system. This mobility can help employees stay productive and have an overall positive effect on the business.

Scalability

As your business grows in terms of personnel and remote locations, VoIP phone systems make it easy to add users, offices, devices, numbers, services and capacity without reinventing the wheel. With CallHarbor, your phone system grows with you. We make it easy for your to add devices and users. When you need help differentiating locations and offices, our user portal makes it easy to keep them separate, but edit them in the same space.

Having this easy scalability also helps for business that have seasonal busyness and need extra users or available lines at different times of the years (such as holidays, or tax season).

Unlimited Upgrades

With CallHarbor as your VoIP provider, you get unlimited upgrades at anytime throughout your contract. We are partnered with Yealink and Poly, meaning we always have the best and newest hardware for your business communications to succeed. From conference phones, to desk phones, we have it all, and you may rent it at a low monthly rate. Because your business rents the phones, we can also swap them out whenever you want. If a new phone comes out, and you want to upgrade, you can do exactly at that – with no additional “swap out” fee.
